This notice explains how PW Property Care and its service divisions use personal information received through the website, email, telephone and WhatsApp.
Who is responsible for your information?
PW Property Care is the shared website and enquiry route for PW Maintenance, PW Construction and Renovation Ltd, and PW Eco Solutions. The data controller for an enquiry is the PW division that receives and handles it. PW Construction and Renovation Ltd is registered in England and Wales under company number 10080767, with registered office at 182 Inchmery Road, London, SE6 1DF.

Information we collect
We may collect your name, email address, telephone number, postcode or property area, enquiry details, photographs or documents you choose to send, appointment information, quotations, project correspondence and payment or accounting records where a contract proceeds.
Why we use your information
We use information to respond to enquiries, assess work, arrange visits, prepare quotations, deliver and administer services, maintain safety and project records, meet legal and accounting duties, manage complaints and protect our legitimate business interests.
Our lawful bases
Depending on the situation, we rely on steps requested before entering a contract, performance of a contract, legal obligations, and legitimate interests such as responding to business enquiries, maintaining project records and protecting the business. We use consent where the law specifically requires it.
Who we may share information with
Information may be shared only where necessary with staff, subcontractors, professional advisers, insurers, accountants, IT and hosting providers, email and communications providers, payment providers, regulators or public authorities. We do not sell personal information.
How long we keep information
General enquiries that do not proceed are normally retained for up to 24 months. Contract, invoice, tax and accounting records are normally kept for up to seven years. Health and safety, warranty, dispute or insurance records may be kept longer where reasonably necessary. Information is then deleted or securely disposed of.
Email, WhatsApp and website forms
If you contact us by email, WhatsApp or the website form, the relevant communications provider may process information on its systems. Some providers may process information outside the UK. Where this happens, we rely on the provider’s contractual and legal safeguards. Do not send highly sensitive information unless it is necessary and agreed with us.
Security
We use reasonable technical and organisational measures to restrict access and protect enquiry and customer information. No internet transmission is completely risk-free, so please contact us if you believe information has been sent to us in error.
Cookies and analytics
This version of the website does not intentionally use advertising cookies or non-essential analytics. If analytics, embedded maps, videos, advertising pixels or live-chat services are added, this notice and any required consent controls will be updated before those tools are activated.
Your rights
Subject to applicable exemptions, you may ask for access to your information, correction, deletion, restriction, objection or portability. Where processing relies on consent, you may withdraw it. Contact us using the details above.
